No new project-management software to adopt
Your existing AI.
Better project context.
Blue Chameleon organizes your project records and sets up repeatable AI-assisted routines around them. We start with the AI you already use, check its supported access, and build a review step into the workflow.
For teams asking their AI for project updates but still having to reconstruct the facts from scattered files and conversations.
The setup / 01
The records, the routine,
and the people using them.
A useful briefing starts with records the team can trust and maintain. We agree the following before relying on an AI-assisted routine:
| What we set up | Where it lives | What it makes clear |
|---|---|---|
| Consistent records | Project register + decision log | Project IDs, owners, status, next actions, due dates, source links, and last-updated dates in an agreed format. |
| A clear source list | Your Google or Microsoft workspace | Which records are authoritative, which are drafts, and which the AI may use for this task. |
| Tested access | Your current AI product and plan | An approved connection where supported, or a deliberately selected file or export. No assumption that the AI can see your whole workspace. |
| Repeatable instructions | A briefing prompt + review guide | Ask for source-backed facts, separate proposals from approvals, and explicitly identify missing or conflicting information. |
| A human review step | A named reviewer | Check dates, owners, amounts, and cited records before sharing a briefing or acting on a recommendation. |
We build the agreed setup, test it with a real workflow, document how it works, and train your team. Optional support is scoped separately.
A practical example / 02
From project records
to a checked briefing.
In our fictional Cypress House example, the record contains a verified material mismatch, an estimated cost impact, and a customer change that has not yet been approved.

Choose the records
The team supplies the current issue record, change log, and relevant specification through the supported access method. It checks that the files are current and appropriate to share with that AI product.
- 02
Ask a bounded question
The AI is asked to summarize the open decision, the owner, the next action, and the supporting record. A pending customer change must remain pending in the briefing.
- 03
Review, then act
A person checks the briefing against the source. Missing approval information stays visible. The responsible owner updates the working record through the agreed process.
Useful AI support / 03
Reading, writing, and automation are different jobs.
An AI that can summarize a file may not be able to edit the register or run on a schedule. We test the capabilities your workflow needs individually. A briefing can be useful even when updates remain manual. The working record stays the place to check the facts.
The setup can begin with Gemini, Copilot, ChatGPT, or another AI your team already uses. Supported connections, file formats, freshness, permissions, and handling of your data vary by product, plan, and settings. We confirm these with you before choosing the access method.
An example briefing instruction
Using only the project records provided, list open decisions with their owner, next action, due date, and source. Separate approved changes from proposals. Flag missing dates and conflicting records. Do not invent an approval or update a record.
We tailor the instructions and check the output against your actual workflow.
Before we build / 04
Clear expectations.
A practical scope.
Do we need to switch AI products?
That is not the starting point. We assess your current AI against the agreed task. If it cannot access the needed records or perform the required action, we explain the limit and agree a workable approach before building.
Does organizing records guarantee correct AI answers?
No. AI can omit information, use an outdated source, or misread a record. We ask it to identify sources and uncertainty, test it with known examples, and keep a person responsible for checking the output.
Do our project files need to be public?
No. Public visibility for this website is separate from access to client project records. We agree a permissioned access method for your AI and only use information appropriate for the task and your organization’s rules.
What happens if we change AI tools later?
We document the records, instructions, and review routine so they can be reused. A different AI may need a different connection and fresh testing; compatibility is assessed rather than assumed.
Start with one workflow
Let’s make your next
handoff clearer.
Bring the AI product and plan you use, one current project record, and a question you ask every week. We will check what the AI can access and what a useful answer should contain.
